Privacy policy

We collect as little as possible: enough to arrange your child's lessons and nothing more. This policy explains what we collect, why, and your rights under the Protection of Personal Information Act (POPIA) in South Africa and the General Data Protection Regulation (GDPR) in the EU.

What we collect
- About you, the parent or guardian: your name, email address and WhatsApp number.
- About your child: first name (optional) and age band only. We do not ask for a surname, date of birth, school or photo.
- Your Tutor Match answers: learning goal, level, learning style, preferred times, timezone and lesson length.
- Messages you send us through the contact form, email or WhatsApp.
- Website usage data, only if you allow analytics or advertising cookies.
Why we use it
- To match your child with a tutor and arrange the lesson you request.
- To contact you about that lesson by email and WhatsApp.
- To reply to your questions.
- With your consent, to measure how the website is used and how our adverts perform.
Our lawful basis is your consent (which you give as parent or guardian when you send a request) and our legitimate interest in replying to enquiries. You can withdraw consent at any time by emailing us.
Children's information
Only a parent or legal guardian may send us a child's details, and must confirm this when booking. Children's names are never shown publicly or used in advertising.
Who we share it with
Your child's matched tutor, and the service providers that help us run the website and send email: Cloudflare (hosting and spam protection with Turnstile) and Resend (email delivery). If you accept cookies, Google (Analytics, Tag Manager and Ads), Meta and Hotjar receive usage data. Some of these providers process data outside South Africa and the EU under appropriate safeguards. We never sell personal information.
How long we keep it
We keep lesson requests, booking details and messages for as long as we need them to arrange and deliver lessons, and delete them within 24 months of your last lesson or contact with us, unless the law requires us to keep them longer.
Cookies
Essential storage keeps the Tutor Match and booking form working during your visit. Analytics cookies (Google Analytics, Hotjar) and advertising cookies (Google Ads, Meta) are used only if you accept them in the cookie banner. You can change your choice at any time:open cookie settings.
Your rights
You may ask to see, correct or delete the personal information we hold about you or your child, object to its use, or ask us to stop contacting you. Email info@thesmartybox.net. If you are not satisfied with our answer, you may complain to the Information Regulator (South Africa) or the data protection authority in your EU country.
Security
The website uses HTTPS everywhere, forms are protected against spam with Cloudflare Turnstile, and access to booking information is limited to the people who need it to arrange lessons.
